Privacy policy

This policy explains how Dealer Print Co ("we", "us") handles personal information — in particular the customer photos submitted by dealerships on behalf of their customers, and the contact details dealership representatives share with us when enquiring about our service. This policy is aligned with the Protection of Personal Information Act, 2013 (POPIA) of South Africa.
1. Who this policy applies to
Our direct customer is the dealership. The end customer (the vehicle buyer) is a data subject whose personal information — specifically their photograph — may be shared with us by the dealership for the purpose of producing a keepsake figure.
2. Dealership responsibility for customer consent
The dealership is responsible for obtaining the vehicle buyer's informed consent before submitting the buyer's photograph or any identifying information to us. By submitting a photograph, the dealership warrants that it has obtained that consent and that it has explained to the buyer that the photograph will be used to produce a 3D-printed figure supplied as part of a handover gift.
3. How we use customer photos
We use customer photographs solely to sculpt and produce the 3D-printed figure that forms part of the ordered gift set. We do not use customer photographs for marketing, do not share them with third parties beyond production tooling required to manufacture the figure, and do not publish them on our website or social media.
4. Retention
We retain customer photographs only for as long as is necessary to produce the figure and to resolve any post-delivery disputes (for example, a request to reproduce a figure). We aim to delete customer photographs from our production systems within 60 days of dispatch, unless a longer retention period is required to resolve an open dispute or comply with a legal obligation.
5. Dealership contact information
Details submitted via the "Request a sample" form (name, email, phone, dealership name, monthly volume estimate and message) are used to respond to the enquiry, arrange a sample gift set, and — where the dealership becomes a client — administer the ongoing supply relationship. We retain these details for as long as is reasonably required for that purpose.
6. Security
We take reasonable technical and organisational measures to protect the personal information in our custody, including access controls on our production systems and encrypted transmission of files received from dealerships.
7. Rights of data subjects
Data subjects (including vehicle buyers whose photographs have been submitted by a dealership) may request access to, correction of, or deletion of their personal information held by us. Requests should be sent to privacy@dealerprintco.co.za. We may verify the request with the submitting dealership before acting.
